eAYSO Tutorials

As of the Fall 2007 season, AYSO Region 43 Los Altos is now requiring all volunteers to register with the eAYSO.org National database. Here are some helpful tutorials to get you over the hump in using the system.

General User / Volunteer:

Note: A region's scope is limited to volunteers and players who have made an affiliation to their region only. So if a volunteer accidently registered in another region, they will not be visible to you. Often this happens when users have participated in more than one region (e.g. due to limited Spring programs not offerred in all regions) or if they were confused by the region number nomenclature and registered in a neighbor region. A neighbor region will likely not "register" an unknown pre-registered volunteer and thus the user sits in limbo. We have had upwards of 5 pre-registered records for the same user from outside our region sitting in the "pre-registered" state in a given season as they keep trying to register and they nor the CVPA/RC of the other region understand why they are not appearing. In cases like this, if you recognize they are not from your region, sending them an email with a pointer to the "Changing your Region" link will help everyone involved.

Background:

Although we have our own local region registration and management system, sometimes the National eAYSO system must still be used, such as for access to online training. So we feel the need to create these tutorials as we and our neighbor regions struggle to use the system for this limited but required "benefit". These eAYSO tutorials were originally primarily for regions like ours that rely on other software like Web Youth Soccer to register and operate their region. So we give just enough information here to use eAYSO for the minimal use -- creating volunteer records in the National database and helping users register for Area and Section courses; or maybe online training from National.

Even though we had never used the system previously, other regions' volunteers were constantly registering in our region and with seemingly no knowledge of it. Luckily, National has seen this as a problem and now has a "region switch" option as part of the volunteer registration and login process. So a new tutorial has been created to help guide people through this switch. The only way otherwise to remove pre-registered volunteers not from you region is to send an email to National eAYSO.org staff and ask them to delete those specific pre-registered volunteers. (note: it is helpful to process all your regions volunteers and then simply ask them to clear the list within 24 hours and hope no valid volunteer registers in the mean time.) But do try and get the users to switch themselves out first as this saves everyone time and quells emotions.

We hope by creating these tutorials, we solidfy the list of security holes and user interface issues so we all have an easier time using the system and they become recognized and repaired. We continue to urge that regions be vary cautious in their use of the system as it is easy to give too much access to any volunteer and even people you do not know.
